Facilities Associate

Key Responsibilities:

  1. Oversee daily maintenance and upkeep of office spaces, including common areas, conference rooms, external building areas, and staff workspaces.
  2. Coordinate with vendors and contractors for repairs, maintenance, and service needs such as cleaning, HVAC, security, and pest control.
  3. Manage inventory of furniture, building supplies, and equipment, ensuring adequate stock levels and timely reordering.
  4. Respond to facility-related requests from staff, including workspace setup, equipment moves, and minor repairs.
  5. Monitor building access and security systems, including key cards, visitor logs, and alarm systems. Maintain records of these.
  6. Support health and safety compliance, including emergency preparedness, safety drills, and building inspections.
  7. Coordinate facility needs for organizational events and meetings, including room setup and basic technology support.
  8. Track facility budgets and expenses related to maintenance, supplies, and repairs, ensuring responsible fiscal management.
  9. Serve as liaison with property management and/or landlords on lease compliance, facility concerns, and service needs.
  10. Assist with space planning and office moves, ensuring minimal disruption to daily
  11. Co-lead the Building Council in partnership with the Program Co-Lead, fostering cross- departmental communication and collaboration on facility-related matters.
  12. Other duties as assigned

Qualifications & Skills:

  • Proven experience in facilities coordination, office management, or related operations role
  • Strong organizational and project management skills
  • Ability to manage vendors and negotiate service agreements
  • Knowledge of health, safety, and emergency protocols
  • Strong interpersonal skills and a collaborative approach
  • Budget management and expense tracking experience preferred
  • Ability to troubleshoot and problem-solve minor facility issues
  • Bilingual (English/Spanish) required

Education & Certifications:

  • High School Diploma required

Physical Requirements & Working Conditions:

  • This position has a fully on-site work schedule which includes daily in office presence
  • Must be required to travel to other sites
  • Standard office environment
  • Must be able to occasionally lift items weighing up to 20
  • Travel to other Mujeres office locations
  • Work evenings and weekends as needed

  • Paid Holidays: 14 paid holidays including Juneteenth, Indigenous Peoples Day, and Winter holidays.
